Set up a repeatable workflow
- Give subject-matter experts ownership of the relevant Knowledge Base folders. For example, Product maintains product instructions while Customer Success maintains onboarding procedures.
- Have your learning team create a template for each repeatable format, such as a first-week course or a short product update.
- Put standing writing requirements in Rules. Save optional review, coaching, or drafting tasks as Skills.
- Set the workspace Brand and the tutor Guardrails appropriate to your audience.
- Configure destination catalogs and the reviewers who approve their releases.
- Test the complete path with a small course: choose the template, add sources, approve the outline, build, preview, and submit for review.
Delegate the work
In Organization → Roles & Permissions, management of AI Rules, AI Skills, course templates, and catalogs can be delegated separately. An author does not need to administer the whole workspace to maintain one of these areas. Workspace Brand changes require an administrator.
Skill sharing controls who can use a saved prompt. Knowledge Base sharing controls source-document access. Catalog access controls the learning audience. Set each for its purpose.
